Initial Situation

Demands placed today on the IT, differ greatly. It can be standard requirements, such as new HW or SW, its authorization requests for access to systems and applications. However, it may also be requirements for system or process changes, from which can result in smaller changes or complex projects depending on the complexity.

Often IT (project) get requests on different channels in the IT department. A central collection, evaluation and prioritization of individual requirements by IT and business is often a major challenge.

The result is often an increasing lack of transparency and a continuous shifting of priorities. This leads to a permanent overloading in the IT department, as many requirements must be implemented alongside the daily business.

Requirements Management with SharePoint® as a solution

Remedy will be provided with the introduction of a structured requirements management with SharePoint®. A clear separation of the requirements in standard requirements, permissions, changes and project requests provides the basis for this.

When requirements management with SharePoint® is divided into standard and non-standard requirements. This helps to manage a large part of the requirements in a routine way. 

The prioritization of non-standard requirements in committees consisting of business and IT leads to IT governance. A centralized portfolio management supports the deciding factor.

Based on Microsoft SharePoint® technology enables Trigonum solution channeling the demands on IT. From project applications over IT demand requirements to IT authorization messages, the application for the Request Management provides a single point for this.

IT requirements can centrally consolidated, transparent evaluated and their status will be sustainably monitored. This relieves the IT, optimizes customer focus and promotes a continuous integration of business and IT.

Both the application through Microsoft Word® forms as well as via an external web application forms can be supported.

1. MS Office Integration

If the application using Microsoft Word forms is desired, a complete integration can be implemented with SharePoint. Simply requestor fill the form and save it directly to a "request pipeline". When using a mail server, it is even possible to send requests via email to the "request pipeline". In both cases, the document is stored in it and the contained data are automatically read.

2. Integration of external web applications

If requirements with the help of web forms in an external web application are placed, it is possible to merge and to further process those with the help of SharePoint.

The structured recording makes it possible to set up a reporting about the incoming requests.

The central documentation of requests for user setup and assignment of rights, for example, enables the targeted evaluation of permissions for each user. This contributes significantly to the enhancement of IT security and helps to meet the increasing compliance requirements.

Integration of external systems

Based on the central consolidation of data, external systems, such as help desk, can be controlled.

If e.g. authorization applications are centrally collected and released, the processing can be triggered automatically by the IT staff, through a ticket is created in the Help Desk system. This is automatically done with the aid of stored workflows.
